CONSTITUTION OF THE:

WELSH FORD OWNERS CLUB

1. NAME: The name of the organisation shall be:

 

Welsh Ford Owners Club

​

2. AIMS: The aims of the club will be:

​

A) To represent the full interests of each member of the club.

B) To encourage activities prompting the club and its members values.

C) To encourage and support all members with vehicle related projects that advertise/promote the club.

D) To discourage any discrimination and prejudice involving any persons, including those inside and outside of club membership.

 

3. MEMBERSHIP

​

Membership of the car club shall be open with equal opportunities for men and women

regardless of nationality, religion, race, gender, age, sexuality, disability or any other

potential cause of discrimination.

 

In no circumstances must members conduct themselves in a disrespectful manner that may cause other

members or any persons outside of club membership offense or distress. Those that do so will have their

membership reviewed and may risk having their membership removed following investigation.

 

Membership of the Car club is open to any persons who purchase a membership from the car club. All club

deals and discounts are subject to terms and conditions as stated on the club website.

 

Regardless of the time of year members sign up, they will be fully entitled to all membership benefits.

 

If a member wishes to leave club, regardless of their reasons, they must notify the clubs chairman and return

their membership card as soon as possible and no refunds will be issued if member resigns from the club.

Club benefits must not be taken advantage of once a member has resigned their membership.

 

All memberships are subject to review and the club reserves the right to revoke anyone’s membership in

justifying circumstances.

 

At this time WELSH FORD OWNERS CLUB do not operate lifetime memberships.

4. MEMBERSHIP FEES:

​

Membership fees are as follows and no discounts will be offered regarding these fees.

- An annual membership is £15.

- Membership fees are subject to change and all new and existing members will be given a one month

Notification period of the change.

- Members hold the right to renew their membership upon expiry of their existing one.

​

5. MANAGEMENT

​

The club will be run by a team of administrators chosen by the club and must at all times make decisions in the best interests of the club and its members.

If any issues are raised to any members of the club’s management, all other members of management must be informed via a club meeting and a cause of action must be established.

All members of management must conduct themselves respectfully towards other members of the club and must take responsibility for any events or incidents involving the club and its members.

The club management team are responsible for organising events and social gatherings where the club’s name is involved as an organisational feature.

6. VOTING

​

Decisions made are at any time subject to a vote and members of management are under no circumstances

to make solo decisions involving the club and its members.

Voting will take place involving all members of management and a minimum of 5 other members of the club.

 

7. POWERS OF THE COMMITTEE

​

The management team have control over any interests and affairs involving the club and its members.

Certain affairs involving the club and its members may be subject to a vote (see above).

 

8. ANNUAL GENERAL MEETINGS

​

General meetings will be organised in the event of issues being raised or decision-making processes taking

Place.

​

If a meeting is held and a vote takes place where the voting conditions detailed above are not met, the said

vote will not be valid and another vote must take place before any actions regarding the decision made are

made.

 

9. CONDUCT OF BUSINESS

​

A) All business matters must be handled professionally and must be handled with the interests of the club and its

members in mind.

 

B) Any meetings must be handled professionally and must not discriminate against any club members.

 

C) All subjects of meetings will be recorded and may be referred to at a later date where relevant incidences

occur.

​

10. FINANCE

​

A) All money raised towards the club (e.g. from online sales of merchandise) will be used to further promote

the club and its members.

 

B) The treasurer shall keep an up to date record of accounts and finances for the Car Club

and be responsible for banking money and also paying out for Car Club items.

 

C) All money from sales will be sent to the clubs financial account and will only be moved if necessary by the

club’s treasurer. The treasurer will appoint one other member of the club who will share responsibility

for the movement of club funds.

 

D) The club’s accounts will be subject to inspection on an annual basis.

 

11. EQUAL OPPORTUNITIES

​

The car club and its members will maintain a respectful manner at all times, and will uphold equal working

conditions with members at all times. Any activity that involves direct or indirect discrimination towards a

member or a member of the public including; victimisation, segregation or harassment on the grounds of

nationality, religious opinion, race, gender, age, sexuality, marital status, disability will not be tolerated and

action against those persons involved will be taken.

12. DISSOLUTION

​

If for whatever reason, club management make the decision to dissolve the club, members will be given 3 months’ notice in advance. Any decisions regarding remaining assets, including financial assets, once all payments/debts that the club may have are settled, will be decided on by the club’s members. A vote may be required in order for this to happen responsibly.

 

13. CODE OF CONDUCT

​

The car club aims to deal with all reported cases of anti-social behaviour / manner within its meetings and car shows, affectively and as quickly as possible. Anti-social behaviour is any behaviour that causes alarm, distress or harassment to others, this can also include criminal acts, intimidation and threatening behaviour.

 

A) Members of the Car Club must conduct themselves in a reasonable manner at all times

during meetings and car shows and not to pose as a threat to their fellow members.

​

B) If there is an incident between two fellow members of the Car Club, the Chair person

and secretary should be informed by letter or e-mail within ten days of the alleged

incident by the member/s making the complaint or allegation/s. The committee

members will call a meeting to consider each case.

​

C) The committee shall then meet to discuss the contents of the given letter and if they

consider there is a case to be met, they can inform the member/s making the allegations

by letter to appear in front of the committee to prepare the member/s defence.

​

D) If the member/s does not meet the requirements of this meeting on the time and date

given then the meeting shall go ahead as planned in the member/s absence.

​

E) If the allegations are proven, the member/s is given a caution re: - unreasonable manner

to another club member/s and informed if there is another incident within a twelve

month period, then an automatic expulsion from the Car Club will take place.

 

WELSH FORD OWNERS CLUB WILL NOT TAKE ANY RESPONSIBILITY FOR INCIDENTS THAT OCCUR

OUTSIDE OF CLUB EVENTS. ANY REPORTS OF INCIDENTS INVOLVING CLUB MEMBERS WILL BE

REVIEWED AND ALL MEMBERS INVOLVED MAY RISK THEIR MEMBERSHIPS BEING REVOKED.

​

This constitution was adopted as the constitution of the Welsh Ford Owners Club.

​

On the date below by the persons whose signatures appear at the bottom of this document.
